JOB SUMMARY AND PURPOSE

Trinity is seeking a part-time Children’s Ministry Events and Administrative Coordinator to serve at its Oxmoor Campus. Working closely with the Children’s Pastor, children’s ministry team, and volunteers, this role provides the administrative coordination and event support needed to create organized, welcoming, and meaningful experiences for children and families.
This position typically requires approximately 15 hours per week. Hours may vary with the ministry calendar, including occasional additional hours during major events and other especially busy seasons.
SPECIFIC RESPONSIBILITIES AND JOB DUTIES
Sunday Morning Support
- • Provide logistical support to the children’s ministry team on Sunday mornings.
- • Be trained to operate the children’s check-in system and assist families as needed.
- • Welcome and assist visiting families.
- • Check in with KidsMin volunteers and respond to Sunday morning needs.
- • Provide additional logistical support to the children’s ministry team as needed.
- • Support Children’s Pastor with all Milestones, Calm Before the Stork, and Wonderfully Made parent meeting during Sunday school.
Volunteer Administration and Safety
- • Oversee Ministry Safe training requirements for children’s ministry volunteers.
- • Coordinate volunteer background checks and reference checks.
- • Maintain accurate records of volunteer training and screening requirements.
- • Assist with volunteer communication and appreciation throughout the year.
Family Resources and Kids Book Nook
- • Organize, maintain, and regularly update the Kids Book Nook.
- • Organize and maintain family resources identified by the children’s ministry team.
- • Ensure resources and spaces are welcoming, current, organized, and ready for families.
Events
- • Support the children’s ministry team in preparing and creating welcoming, engaging environments for KidsMin events, including:

- • Dad & Me / Mom & Me
- • Sunday Fundays
- • Calm Before the Stork
- • Welcome Back Sunday
- • Christmas Kids’ Event
- • Wonderfully Made
- • Easter Egg Hunt
- • Christmas Decorating Day
- • Event responsibilities may include:

- • Food and refreshment coordination
- • Creating and placing simple signage
- • Decorating and preparing spaces
- • Setting up event areas and materials
- • Helping create a fun, warm, and visually inviting environment
- • Supporting volunteers during events
- • Assisting with event communication and logistics
- • Cleaning up and resetting spaces after events
The primary focus of these responsibilities is hospitality, preparation, and logistical support rather than sole ownership of event planning or programming.
Church-wide and Special Events
- • Assist the children’s ministry team with church-wide events such as Party in the Lot and the Glow Parade.
- • Represent KidsMin at ministry fairs and other church-wide opportunities.
- • Help communicate KidsMin opportunities and connect families with the ministry.
- • Provide logistical and hospitality support for approximately five Women’s Coffees throughout the year, including setup, food and refreshments, creating a welcoming environment, and cleanup.

SCHEDULE AND QUALIFICATIONS
- • Work is generally scheduled Sunday through Thursday, with specific hours arranged based on ministry needs.
- • Attend weekly children’s ministry team meetings on Mondays from 9:30–10:30 am.
- • Meet weekly one-on-one with the Children’s Pastor.
- • Proficiency with computers — including email, document creation, spreadsheets, and basic database use.
- • Physical ability to perform moderate activity, including lifting and moving items up to 30 pounds.
